Accounting Data (Xero & QuickBooks Connections)
In short: we don’t keep a copy of Your accounts.
Unlike tools that copy Your whole ledger and store it indefinitely, We read Your invoices and contacts only on demand (while You’re using the app) and clear them again automatically shortly after. Between visits We retain only Your aggregate score and an encrypted, read-only connection token — there is no stored copy of Your financial records to lose.
If You choose to connect Your accounting software (Xero or QuickBooks), We access — with Your explicit consent — Your invoices (sales and purchases), Your contacts’ names and email addresses, and Your company’s name and registration details, in order to calculate Your PaymentCheck score, analyse Your receivables, and (if You choose to publish) show a verified company profile. Specifically:
- We only ever read Your data — We never create, edit or delete anything in Your accounts. With Xero We request read-only scopes; with QuickBooks (Intuit), Our application makes read-only requests only. We never access Your bank accounts, card details, payroll, or accounting login.
- We do not retain a copy of Your transactions. Your invoices and contacts are fetched on demand to display Your dashboard and are then cleared automatically shortly after use (typically within an hour). We keep only Your aggregate score (a number and a few summary figures) and an encrypted connection token — tokens are encrypted at rest and Your data is only accessible to You (and Our service systems acting on Your behalf).
- Your score and figures are private by default. Nothing is shown publicly unless You explicitly publish a verified profile.
- You can disconnect at any time, which revokes Our access and deletes the accounting data We hold for You — Your synced invoices, contacts, client matches and connection tokens (the “disconnect & delete data” action on Your dashboard). You can also revoke Our access directly from Your Xero or Intuit account.
- We use this data solely to provide the features You requested; We do not sell it or use it for advertising.
Use of Your Personal Data
The Company may use Personal Data for the following purposes:
- To provide and maintain our Service
- To manage Your Account
- For the performance of a contract
- To contact You
- To provide You with news and updates
- To manage Your requests
- For business transfers
- For other purposes such as data analysis
Business Transfers
If the Company is involved in a merger, acquisition, financing, reorganisation, or a sale of some or all of its business or assets, Your Personal Data may be transferred as part of that transaction. Where that happens:
- Your Personal Data will remain subject to the commitments made in this Privacy Policy — including the accounting-data commitments above (read-only access, no stored copy of Your transactions, disconnect & delete at any time) — unless and until You are told otherwise.
- We will notify You by email and/or a prominent notice on the Service before Your Personal Data becomes subject to a different privacy policy or a new data controller.
- You will always be able to disconnect Your accounting software, unsubscribe from emails, or ask for Your data to be deleted — before or after any transfer.
