Dispute Resolution Process
For Trade payments - There is ‘Routing Guide’ which our buying team do provide to new suppliers of which the vendor must sign to agree to our T&C’s. Invoices held up and shown on our exceptions report these are reviewed daily which usually relate to overcharges in cost prices or shortages in items of stock and requests for credits are emailed to the vendor within 24/48 hours then the ball is in the vendors court as to how quick they respond to settle the dispute so invoice(s) are captured and paid within the next payment run. Other payments (non-trade) – Department heads who set up new accounts do know to tell the vendors to email invoices to our central machine, these are processed into our accounts system and scanned into invoice routing system (Zlab) daily. It’s up the each budget holder to approve invoices once they appear in there ZYlab inbox and resolve any disputes with the vendor. If AP are chased by vendors for any invoices overdue for payment which have not been approved we usually chase up the budget holder to resolve directly with the vendor. Once the dispute is resolved and approved, the invoice(s) are then captured and paid within the next payment run.
